- Read me - What a Postal Identifier does
A Postal Identifier is a specific name that may be registered to identify and sort mail for specific people. By default we give you a Catch All, this can be used to manage mail for anyone as long as your box # is on the envelope.
Each identifier has its own unique forwarding details, mail can be routed to different addresses and cleared at different dates for each identifier.
You are not required to register an identifier and by default your mail will be received by the Catch All Identifier. So if you want to all your mail to be sent to the same address at the same time please use the Catch All.
- Read me - How to address your Mail
On our standard Personal and Business plans you get a sorting number. This number ensures we can identify your mail as yours and as long as the number is on your mail we will know it is yours. This number can be seen as a Suite, Apartment or Care of.
Examples:
In our example we are using the sorting number 123 and John Simms as the addressee.

Alternate methods of addressing your mail.
Some organisations have specific formats of addressing your mail. You can replace the # with the following examples: Care of (c/o), Suite (ste) or Apartment (apt).
Postal Identifier
A Postal Identifier is a specific name that may be registered to identify mail for specific people. If you wish to separate mail for a specific person, you may register a Postal Identifier for their name.
Each identifier has its own unique forwarding details, mail can be routed to different addresses and cleared at different dates for each identifier. You are not required to register an identifier, by default your mail will be received by the Catch All Identifier. So if you want to all your mail to be sent to the same address at the same time, use the Catch All.
Catch All Identifier
All plans incorporate a Catch All Identifier. The Catch All Identifier is simply your default sorting mechanism, any mail which we receive that doesn’t have a Registered Identifier, will be sorted here.

We give you many addresses to choose from and you can change your address from the mailbox setup section.
Getting your Mail Box is very easy and all you need to do is create your own unique account and then you can instantly purchase your mail box. Once your account is setup you just need to login and follow the on screen instructions.

If you are purchasing a box on the monthly plan you do not need to make any down payment. You can always upgrade to the yearly plan from the mail box setup page.
- How to setup your Mail Box
Once your box is registered you can begin receiving mail straight away. To manage your mail we give you a Catch All postal identifier, this can be setup to forward or scan your mail.
Your Address, the standard address we give you is at our Wellington street address. You can change this address to one of our alternate PO Boxes via the Mailbox setup panel.
Set up Mail Processing, by default your mail will be held, but to manage your mail you will need to setup your identifiers.

I cannot see my mail
Your Inbox will show any mail which we have received.
As long as you have mail in your inbox you can see it. Please be aware that if your mail is queued for sending or destruction it will not be shown in your inbox. We have an indicator at the bottom of the summary page that shows if your mail is queued.
The inbox page is a live summary of your mail status if there is no mail showing in this page then no mail has arrived. If you have been waiting for an extended amount of time then we recommend you check with us about what may have happened.

Putting your mail on hold
By default your postal identifier is on hold and you do not need to set it up to put your mail on hold.
If you have already set your mail forwarding and wish to have it put on hold; simply choose the hold option from the forwarding setup section.
Private Box is not responsible for managing this, we send mail and process it to the exact instructions you specify.

Scanning your mail
You have two options for scanning your mail.
1) We have a scan all feature, whereby all mail incoming is opened and scanned.
2) You can manually choose to have your mail scanned.
Scan All
The scan all feature by default is off, you can change this from the box setup panel.
Manual Scanning
This is a standard feature available from from your inbox controls.
Please be aware that Private Box is not responsible for managing this, we send mail and process it to the exact instructions you specify.

Forwarding your mail
You can forward your mail automatically or manually. In order for us to forward your mail we must have an address and this can be set from the box setup page.
Automatic forwarding, If you want mail to be automatically sent you will need to setup your identifier for this.
Setup your Identifier, To do this proceed to the box setup area and click on the tab.
Manual Forwarding, if you are manually forwarding your mail, you can select individual letters together and forward them as one. This option is available from your inbox controls.

- Understanding transactions and GST
Understand more about GST and why some transactions are split.
Due to tax regulations in New Zealand some of our transactions are split, have GST included or excluded.
IMPORTANT NOTE: Private Box LTD operate on a prepaid basis, therefore you pay for the services in advance, however we do not recognize this till we provide the service to you. We only provide receipts upon the completion of a task, not a credit.
GST included transitions, The following transactions have GST (15% tax) included:
Mail Box rental
National (NZ) mail forwarding
Mail scanning
Manual transactions
GST Excluded transactions, all international postage is GST exempt. This includes:
International Economy, Air and Express (DHL) services.
Split transactions:
Private Box Operate on a prepaid basis, any transaction that falls below $0 is not included for GST purposes.
The GST is only counted when your account has above $0.001.
How do split transactions work?
For example you have $10 in your account and we charge you $20 for your mail box rental. The $10 credit you have will be included in our GST tables and therefore will be split.
The remaining -$10 will be split into our waiting transactions and will not count towards GST or Tax until you add more credit.
Why does Private Box split these transactions?
All accounts are designed to be pre-paid and therefore to adhere to tax rules and not to double count transactions we have this process in place.
